What can an AI agent do with
Full QuickBooks accounting access?
This is the main QuickBooks permission, and it is broad. One yes lets the app use most of what you can do in QuickBooks Online yourself: customers, vendors, invoices, bills, payments, journal entries, and reports. QuickBooks lists no read-only version, so a tool that only needs to look still gets the power to change and delete.
How to spot it
On a QuickBooks Online connection or settings screen, this is com.intuit.quickbooks.accounting.
With it, an agent can
- Read your customers, vendors, employees, and chart of accounts.
- Create, change, and send invoices to your customers.
- Create and change bills, payments, bill payments, and refund receipts in your books.
- Run reports such as Profit and Loss, General Ledger, and Cash Flow.
- Add journal entries, which accountants use to correct or adjust your books.
- Delete transactions like invoices, bills, payments, and journal entries. Voiding keeps a record with the amounts set to zero, but deleting removes the transaction.
- Mark customers, vendors, and accounts as inactive.
- Make many changes at once in a single batch.
It cannot, on its own
- Charge a card or issue a refund through QuickBooks Payments. That needs the separate payments permission.
- Delete customers, vendors, or accounts. Those can only be made inactive, and they can be turned back on.
What a bad day looks like
If the agent is tricked by a bad instruction, it could delete a batch of invoices or payments. Deleting removes a transaction, while voiding would have kept a record with the amounts set to zero.
Set it up safer
- Have the agent show you every delete, invoice send, or large change and wait for your yes before it acts.
- Disconnect the app in QuickBooks as soon as you stop using it. Disconnecting cancels its access.
Ask the company selling the agent
- QuickBooks only offers one broad accounting permission. What exactly will your agent read, create, change, or delete?
- Will it ever delete transactions, and can I switch that off?
- Will it send invoices to my customers without my approval?
- How do I disconnect it, and do you delete my data when I do?
